Putting your covenants and minutes online
More, then Documents. Upload a file, give it a category like Governing documents or Minutes, and choose who can see it. That is the whole job, and most boards do it once in an evening and then only add minutes after each meeting.
Who can see it
Every document has one of three settings. Residents means anybody signed in to your community, which is the right answer for minutes, budgets and rules. Public means anybody with the link, including a buyer's agent, which suits the CC&Rs many associations are obliged to hand over anyway. Board and admins only keeps it to the people with a board role, for legal letters and anything about a specific home.
You can change the setting later. Nothing is public unless you choose Public.
What a neighbor sees
Residents get the documents page in their own portal, grouped by category, newest first. They do not need an account or a password, only the sign-in link they already use. Nobody has to ask a board member for a copy of the rules again, which is the point.
Asking people to confirm they read it
Some documents need a record that people saw them. Open the document and turn on the read confirmation, and the page will show you how many people have confirmed, like eighteen of forty-one. It asks each person once and then leaves them alone. There is a separate guide on asking neighbors to confirm.
What this is not
It is a shelf, not a filing system. There are no folders inside folders, no version history, and no editing in place: upload the new minutes and the old ones stay where they are, dated. If you need a document signed, that still happens off the platform.
