Features / AI email triage

The inbox that files itself. You just press Confirm.

Your community gets its own address. Forward anything to it: a resident's complaint, a thread from the management company, a photo of a hole in a gutter. The AI reads it, finds the real sender inside the forwarding chain, drafts the work order, and stages it for one human click.

Envelopes flying into a birdhouse-shaped inbox

Built for how requests actually arrive

Real requests do not arrive through forms. They arrive as a forwarded forward of a forward, with the actual homeowner buried three layers deep and the photos still attached. neighborPOP unwraps the chain, identifies the original sender, matches them and their address against your directory, pulls the attachments through, and writes a draft work order with a title, category, and priority already filled in.

You stay in charge, always

Nothing files itself unless you turn that on. The default is Stage for review: every email becomes a draft waiting for a person. Feeling confident? Switch to auto-file for high-confidence requests and keep the one-click Undo. Either way, the original email is archived untouched, and the AI never sends a single message to your residents on its own.

Honest about what the AI is

It is a very fast clerk, not a decision maker. It classifies, extracts, and drafts. Humans approve spending, humans send email, humans close work orders. Every AI action is logged, confidence scores are visible, and anything below the bar goes straight to a person. That is what AI-first means here: infused from the beginning, never in charge.

Questions boards ask about ai email triage

What kinds of email can it handle?

Maintenance requests, directory updates (a new phone number, a new tenant), vendor messages, and general mail. Each type gets staged appropriately; nothing gets lost.

What if the AI gets it wrong?

You edit the draft before confirming, or dismiss it. If something auto-filed, Undo reverts it completely. The original email is always archived first, so nothing is ever destroyed.

Is our email used to train AI models?

No. Processing runs on our infrastructure provider for the single purpose of drafting your records.

Do residents have to change how they report problems?

No. That is the point. They email whoever they always email; someone forwards it; it gets filed. The form still exists for people who like forms.
